Description:
The Operations Assistant/Intern plays a crucial role in the back office. He/she provides necessary back-up to the Director of Operations and Operations Associates. He or she is also administers additional support to the Advisors.
Responsibilities & Activities:
Utilize Checklists
Existing Client Appointment Pre:
- Complete all pre-appointment preparation
- Update excel spreadsheet, performance reports and final plan, prepare client review & appointment folder
- If Client Agreements are needed, prepare them prior to appointment and check on driver’s license, alerting rep if one is needed
- Money Guide Pro updates
- Pulling items for A+ Action Plan when applicable
- Prepare folders for client reviews
Back-up Operations Leader
- Paperwork for existing client accounts
- Investment Service
Prepare for all Data Gathering Appointments
Beneficiary Changes
Take charge of Albridge system
- Set up new clients’ portfolios as needed
- Assist clients with resetting passwords
- Send out e-mail to new clients instructing them on setting up their access
- Approve client access daily
- Input correct account names into Albridge
Miscellaneous Operations/Customer Service Activities
- Back-up Operations Associate on spreadsheets and paperwork for TH as needed
- Always utilize checklists
- Writes down 6 most important and prioritize them each day before leaving the office
- Update LaserApp, and Breaking Away with client information
Knowledge, Skills & Abilities:
Requires
- Excellent attitude and an extraordinary client service orientation
- Strong focus on getting the details right
- Excellent organizational & time management skills
- Ability to handle multiple tasks & stress
- Previous securities industry experience
- Proficient in Microsoft excel, word, PowerPoint, contact management data base and internet
